Required Documents KA103 - Outgoing students

Before you apply for mobility you are required to read the following carefully:

 

Before you submit the required documents  online, you are strongly encouraged to contact the ECTS Coordinator  at your home Faculty/ Institute, or other relevant contact, for information on which foreign HE institutions are available to you and for which level of study  and for any clarifications regarding the documents to be submitted.

Please note that the ECTS Coordinator or another relevant authority at your home Faculty is the person responsible for guiding you through the process completing the relevant Learning Agreement (LA).

PLEASE NOTE THAT YOU WILL HAVE TO HAVE THE LA SIGNED IN TWO COPIES BECAUSE BOTH UB AND YOUR HOME FACULTY WILL HAVE TO KEEP AN ORIGINAL COPY EACH.

 

Please note that, according to the rules and regulations of the Erasmus+ program, the minimum duration of student mobility for studies, for which a student is entitled receive the full amount of the individual grant support is three (3) months. The minimum duration of mobility for student mobility for traineeships is two (2) months.  If the student does not fulfill the minimum mobility program requirement, they will be required to return the full amount of the funds for implementing their mobility, indicated in the Grant Agreement the student has signed with the University of Belgrade.

The minimum duration of the 3-month mobility period shall not apply if the student’s mobility was interrupted or discontinued due to force majeure, whereas the reasons for interruption/ discontinuation shall be reported to the National Agency reviewed on case to case basis.  

By signing the relevant Learning Agreement, and subsequently the Grant Agreement, the candidate takes on the responsibility to honor its terms and conditions. Failure to do so, may result in subsequent reimbursement of the part or full amount of the individual support grant. However, reimbursement shall not be requested when the participant has been prevented from completing his/her mobility activities due to force majeure, as detailed above.

 

Having enquired about the procedure and the relevant documents, you proceed with your application by registering at “MobiON platform in order to be able to access the application form and submit the documents. Once you register, you will be able to apply for a maximum of two HE institutions abroad.

 

 

 

Before the nomination through UB you are required to submit the following documents via Mobion:

Application Documents (officially translated and certified by a sworn-in court interpreter for the English language)

 

[01] Diploma and diploma supplement of previously obtained degrees

[02] Transcript of Records

[03] Proof of language skills of relevant language at the host institution (such as copies of course certificates, language tests etc.)*

[04] CV (in English or the language of instruction of the host institution)

[05] Letter of Motivation (in English or the language of instruction of the host institution)

[06] passport number; date of issuance; date of validity

[07] Invitation letter (from the mentor at the Host institution for PhD students)

[08] Erasmus+ Learning Agreement: Signed by the relevant authority at the home institution

[09] Students from less advantaged socio-economic backgrounds-supporting documents*

[10] Copy of the first page of your student booklet (Indeks) - (following the instructions of the National Agency of Serbia)

The Erasmus+ Program aims at promoting equity and inclusion by facilitating the access to participants with disadvantaged backgrounds and fewer opportunities compared to their peers whenever disadvantage limits or prevents participation in transnational activities for reasons such as:

- disability (i.e. participants with special needs): people with mental (intellectual, cognitive, learning), physical, sensory or other disabilities.

•    Special needs support: Students and staff with disabilities are eligible for unit costs (scholarship) as detailed here: https://mobion.bg.ac.rs/erasmus+/KA103/erasmus+-ka103-scholarship-overview. Additionally, cost of travel can be covered for students with disabilities, as well, in the amounts indicated on the same link, in the section Travel costs. As regards the accompanying persons*[1] for students and staff with special needs, they are entitled to receive a contribution based on real costs incurred. Real costs are costs made on a daily basis for food, public transport, etc. and need to be additionally justified by submitting adequate proof of payment in the form of bills and receipts. These need to be forwarded by the University of Belgrade to the National Agency and upon receiving their confirmation of eligibility of the relevant proof, are refunded to the student (on a monthly basis). In case that students incur additional costs directly linked to their condition (renting special equipment or aids, etc.), these are also eligible for refund in the same manner as real costs.

Each higher education institution, by signing the Erasmus Charter for Higher Education, commits to ensuring equal access and opportunities to participants from all backgrounds. Therefore, students and staff with special needs can benefit from the support services that the receiving institution offers to its local students and staff.

- economic obstacles: students from less advantaged socio-economic backgrounds (people with a low standard of living, low income, dependence on social welfare system or homeless; young people in long-term unemployment or poverty; people in debt or with financial problems).

•    Students from less advantaged socio-economic backgrounds (not including students with disabilities/ special needs students), applying for student mobility for studies are entitled to receive extra funding of 200 EUR per month.

A student of less advantaged socio-economic background shall be considered any student in whose household the total monthly income does not exceed two average net monthly salaries, i.e., 118,439.33 RSD in total. This amount has been determined by the average net monthly income for the period January – June 2020, in the amount of 59,219.67 RSD, published by the Office for Statistics of the Republic of Serbia.

As proof of disadvantaged socio-economic background, a candidate must submit:

1. Confirmation of the average monthly income per household member, for the past 12 months,issued by the Municipality where the candidate has address of residence, as stated in the personal ID card or another document issued by the relevant authority (Ministry of the Interior of the Republic of Serbia), confirming the student’s address of residence.

2. Print-out of the personal ID card or another document issued by the relevant authority (Ministry of the Interior of the Republic of Serbia), confirming the student’s address of residence.

3. A signed declaration (download template) by which a student, under full penalty of perjury, confirms that the data provided in the submitted documentation are true and complete and authorizes the relevant authority to double-check, process, store or use in accordance with the current legislation.

* Originals of the proof of disadvantaged socio-economic background and the signed declaration should be submitted to the relevant IR Officer at the time of signing the Grant Agreement.

* The proof of disadvantaged socio-economic background DOES NOT need to be translated into English.

[1] *Accompanying persons is a general definition applying to all fields of education training and youth, an accompanying person is the one who accompanies participants – whether learners or staff/youth workers - with special needs (i.e. with disabilities) in a mobility activity, in order to ensure protection, provide support and extra assistance.

 

All students taking part in mobility programs within the framework of KA103 projects are required to take an online language competence test on the OLS website before their mobility period starts. The testing is performed for the language the candidate has indicated will be the language of instruction of the selected courses at the host university. Following the test, the students is issued with a certificate for online language course. The course takes place in between two testing periods – namely, the student is required to take the second language competence test towards the end of the mobility period abroad.

 

Following the acceptance to the mobility program, a license will be sent to the student’s email, first for the language competence test and subsequently for the online language course on the OLS website.

The test result certificate may not be used as an official proof of language knowledge, because the online test is being performed in an uncontrolled environment.

 

 

 

Acceptance to the Mobility Program – Additional Information

 

After your mobility has been confirmed by the Partner Institution, in other words, after you have received an Acceptance Letter by the host university (or an email in which the partner confirms that you have been accepted on mobilty), you will need to complete additional steps before heading out to your destination.

For this purpose, you will be able to access the Mobion platform, where you will follow these steps all the way until your safe return from your mobility program. For this reason, please do not forget your username and password to access the tool, as you will continue to use it to log onto the system. 

These are the documents that you will need to upload to your Mobion user account:

 

To be handed to UB following acceptance to the mobility program

[01] Acceptance letter/ email by the host institution

[02] Banking instructions for the payment of the Grant (the bank account for the payment in Euros should be opened up in the name of the grant recipient)

[03] Medical insurance for the stay abroad

[04] Signing the Grant Agreement and payment of the first installment of the grant  

[05] OLS certificate*

[06] Originals of the proof of disadvantaged socio-economic background and the signed declaration

 

Important:

It is the responsibility of the mobility participants to arrange Medical insurance for the stay abroad and Travel Health insurance for the purpose of submitting a Student Visa Application at the relevant foreign Embassy in Belgrade.

Please note that you will have to provide proof of having sufficient financial means for your stay at the host country for the purpose of Student Visa application at the foreign Embassy/ Consular Office in Belgrade. For this reason, we strongly encourage you to visit the relevant Embassy’s website for further information regarding the visa application procedure.

During Mobility

           

When you arrive to your destination, you will need to have a Confirmation of Arrival/Departure  signed by the relevant staff at the host institution. When your mobility has come to an end, this same Certificate should be signed in the “departure” section.

Also, make a scan of your outgoing boarding pass and upload it onto your account in the Mobion platform.

The contact person at the host university will be the one to sign your CoA and also refer you to the right person in charge of counter-signing your LA. Please note that in order to have your mobility period abroad recognized, you will need to have the original of the LA signed, so take BOTH copies with you to your mobility abroad.

For the purpose of safe-keeping all of these documents, please have the CoA and LA, signed by all relevant parties concerned, scanned and uploaded onto your Mobion account.

In accordance with the terms of your GA, at the end of your mobility and before departure, the host University will need to sign a Certificate of Attendance, as a confirmation that you have attended the courses finally approved in your LA. Please note that this is not the same as a ToR, issued after successfully passing the exams. A certificate of attendance is a confirmation that you have attended lectures and other relevant activities within the selected study program and is necessary only in those cases where a transcript of records is not available (eg. not passing an exam, attending student mobility for traineeships). 

For traineeships a Confirmation of the completed traineeship program substitutes ToR.

[2] Learning agreement (in case of changes, please send the new one to IRO in Belgrade, duly signed by all parties)

[3] Upload the scan of your outbound travel ticket or a boarding card, or other document confirming outbound travel. *

[04] Certificate of Attendance SMS/SMT from the Host Institution

* original documents should be kept until the return from the mobility program and handed-in to IRO UB

 

 

After Mobility

 

 

To be handed to UB

[01] Original of the Learning Agreement signed by all relevant parties

[02] Transcript of Records from the host institution. A scan to be uploaded to the user account on Mobion; original handed to the Faculty for recognition.

For traineeships a Confirmation of the completed traineeship program substitutes ToR.

[03] Confirmation of Recognition (from the home institution (Faculty)

[04] Certificate of Attendance from the Host Institution, Arrival and Departure ( duly signed by the host institution)

[05] EU online survey. Once the Survey has been filled out, the candidate may expect the remaining of the Grant to be paid out

[06] Outbound and inbound boarding card originals, or other proof of travel (train or bus ticket stubs, print-outs, etc); accommodation receipts for the full length of stay where applicable
