Required Documents KA107 - Incoming students

Before the acceptance to the mobility program, your home institution is required to send a Nomination Letter for the student in question to the relevant contact person at the International Relations Office of the University of Belgrade. Individually sent applications or nominations sent directly to the potential host faculty of the University of Belgrade WILL NOT BE ACCEPTED. Following an eligible nomination received, you will be informed that the Call on Mobion platform is open for applications.

 

The University of Belgrade uses an online software platform "MobiON" in order to facilitate the application procedure for Erasmus+ KA1 candidates. Potential applicants are required to use this platform in order to apply for mobility and should note that those applications received or sent in any way other than through "MobiON" will not be accepted.

 

The following documents should be submitted via the Mobion platform

Application Documents (officially issued in English, or translated into English by a sworn-in court interpreter for the English language)

[01] Diploma and diploma supplement of previously obtained degrees

[02] Transcript of Records

[03] CV (in English or the language of instruction of the host institution)

[04] Letter of Motivation (in English or the language of instruction of the host institution)

[05] Copy of passport

[06] Invitation letter (from the mentor at the Host institution for PhD students)

[07] Erasmus+ Learning Agreement: Signed by the relevant authority at the home institution

 

Note that Incoming students who have a relevant language certificate will have priority in the selection procedure.

 

 

 

Acceptance to the Mobility Program – Additional Information

 

After your mobility has been confirmed by UB, in other words, after you have received an Acceptance Letter by UB, you will need to complete additional steps before coming to Belgrade.

For this purpose, you will be able to access the Mobion platform, where you will follow these steps all the way until your safe return from your mobility program. For this reason, please do not forget your username and password to access the tool, as you will continue to use it to log onto the system. 

These are the documents that you will need to upload to your Mobion user account:

 

 

To be handed to UB following acceptance to the mobility program-uploaded onto the user account Mobion

[01] Copy of the visa if required to enter the country*

[02] Bank instructions for the payment of the Grant in EUR

Banking instructions for the payment of the Grant (the bank account for the payment in Euros should be opened up in the name of the grant recipient). Banking instructions for the payment of the Grant should be in English language issued by the Bank on the Bank memorandum.

[03] Medical insurance policy for the stay in Serbia

[04] Electronic plane ticket

 

Important:

* We strongly encourage you to check  the following link for information on whether you will need a visa to enter the Republic of Serbia: http://www.mfa.gov.rs/en/consular-affairs/entry-serbia/visa-requirements .

If not insured by your home University for your mobility period abroad, it is the responsibility of the mobility participants to arrange relevant health insurance covering the entire length of the candidate’s stay in Serbia. Please check whether you will also need a Travel Health insurance for the purpose of submitting a Student Visa Application at the relevant Embassy/Consular Office of the Republic of Serbia at your home country.

The University of Belgrade does not cover the cost of insurance.

 

 

 

During Mobility

 

When you arrive in Belgrade, you will need to have your Certificate of Arrival/Departure signed at the host UB-Faculty, if the certificate is required by your home University.

Also, make a scan of your outgoing boarding pass and upload it onto your account in the Mobion platform, before you hand the originals over to the relevant contact person at the IRO UB.

 

Following your arrival to Serbia, you are required to register with the relevant authority (nearest police station) his/her stay at, and change of address of residence, within 24 hours from the date of arrival in the place of residence or from the date of the change of address of his/her stay.

 

Legal entities and individuals providing accommodation for foreign nationals with financial compensation, as well as persons being visited by foreign nationals, are required to register with the competent authority the visit of the foreign national within 24 hours from the provision of accommodation to a foreign national, or from the time of arrival of a foreign national for visiting purposes.

After you have taken care of your accommodation, you are required to visit the International Relations Office at the Rectorate of the Univeristy of Belgrade. The IR Officer will provide you with the information of the contact person at the host UB-Faculty, responsible for counter-signing your CoA and also refer you to the right person in charge of counter-signing your LA. Please note that in order to have your mobility period at UB recognized, you will need to have the original copy of the LA signed, so take it with you to your mobility at UB. If your home university also requires the original of the LA for recognition purposes, make two copies of this document and bring them both with you when you come to Belgrade.

 

For the purpose of safe-keeping all of these documents, please have the CoA and LA, signed by all relevant parties concerned, scanned and uploaded onto your Mobion account.

 

In accordance with the terms of your GA, at the end of your mobility and before departure, UB will need to sign a Certificate of Attendance, as a confirmation that you have attended the courses finally approved in your LA. Please note that this is not the same as a ToR, issued after succefully passing the exams, but a confirmation of your regular attendance to the lectures and other relevant activities within the selected study program.

 

Before you hand the documents listed below to the IRO Belgrade, please make sure that you have scanned and uploaded them onto your MobiON user account.

 

At the beginning of Mobility

 

To be handed at UB in original

[01] Confirmation of Arrival/Departure – upon your arrival to UB, signed at IRO, 2 originals, one for the UB

[02] Learning agreement  - in case of changes, please hand over the LA with filled in part  „During mobility“regarding changes to IRO in Belgrade, duly signed by all parties, within a month  of a student’s arrival, 2 originals, one for the UB

[03] Incoming boarding pass original

[04] Signing the Grant Agreement and payment of the first installment of the grant.

 

 

 

At the end of Mobility

 

To be handed at UB in original

[01] Confirmation of Arrival/Departure signed before departure, signed at IRO, – the same form which you have signed upon your arrival, 2 originals, one for the UB

[02]  Certificate of Attendance – signed before departure by relevant authority at the hosting Faculty

[03] ] Learning agreement,  2 originals, one for the UB

 

At the end of your mobility, before your departure from UB, you need to arrange a meeting with IRO office at UB, to hand over the following documents:

 

 

After Mobility

 

Following your safe return home, please make sure you complete these additional steps in order for the second and final installment of your grant to be transferred onto your EUR account:

 

Upload the following documents onto your Mobion user account

[02] Outgoing boarding pass

[03] Confirmation of Recognition (from the home University/Faculty)

Mandatory! No later than 10 weeks after the stay abroad period has ended!

 

And fill in

[01] EU online survey will be sent to your e-mail address on the last day of your mobility, required for final instalment of Erasmus+ grant

 

PLEASE NOTE: After uploading all the required documents and filling out the Erasmus+ EU survey, the final installment of the grant will be paid out.
