Accepted Staff

This page is intended for ACCEPTED STAFF only and contains information about the accepted candidate’ responsibilities BEFORE going on and AFTER returning from mobility abroad. Please read through the list of the documents you will be required to submit throughout these two phases of your mobility.

All relevant documents need to be scanned and  uploaded onto your MobiON account. Original documents must be kept until the completion of the mobility stay abroad, as you will be required to hand in some of them to the relevant Office of the University (boarding-passes, confirmations of stay, accommodation receipts and bills etc).

[01] Acceptance/ Invitation letter/ email by the host institution

Exact dates of the mobility program

Please insert the exact dates of the duration of your mobility program from your Acceptance Letter in the fields above, since they will be the dates indicated in your Grant Agreement.

[02] Banking instructions for the payment of the Grant (the bank account for the payment in Euros should be opened up in the name of the grant recipient)

[03] Filled out UB_ID form (download)

[04] Medical insurance for the stay abroad. Please follow the COVID-19 related instructions when it comes to medical insurance, since you may be required to upgrade your existing insurance policy.

[05] Work Contract (following the the instructions of the National Eramus Office of Serbia, we are required to ask for this document. The document does not need to be translated into the English language. All information which you may deem sensitive, can be redacted, i.e. blacked out).

Subject to the above steps being successfully completed, you will be contacted by the relevant officers, in charge of the payment of the grant for the purpose of Signing the Grant Agreement.

[06] Confirmation of Arrival/Departure - please print out the template of the document and have it signed by the relevant authority at the host institution.

[07] OLS certificate*- in case your mobility lasts longer than 14 days, please read the following instructions carefully in order to be able to register for and take the mandatory OLS test.

Before you hand in the following documents to the UB Office in charge of mobility, please make sure that you have also uploaded them onto your Mobion user account:

[01] Original of the Mobility Agreement signed by all relevant parties

[02] Confirmation of Arrival/Departure - duly signed by the relevant authority at the host instiutuion 

[03] Outbound and inbound boarding card originals, or other proof of travel (train or bus ticket stubs, print-outs, etc); accommodation receipts for the full length of stay where applicable

[04] EU online survey. 

You will receive the survey automatically by email once your mobility has been completed. When the Survey has been filled out, the candidate may expect the remaining of the Grant to be paid out
