Acceptance to the Mobility Program

After your mobility has been accepted by the Partner Institution, in other words, after you have received an Acceptance Letter by the Host university, you will need to complete additional steps before heading out to your destination.

For this purpose, you will be able to access the MobiON platform, where you will follow these steps all the way until your safe return from your mobility program. For this reason, please do not forget your username and password to access the tool, as you will continue to use it to log onto the system. 

These are the documents that you will need to upload to your MobiON user account:

 

 

Following the acceptance to the mobility program please upload the following documents to your user account on MobiON

[01] Acceptance letter of Host university with the exact dates of the duration of your mobility program (from the mentor at the Host university for PhD students)

[02] Banking instructions for the payment of the Grant in EUR

BANKARSKE INSTRUKCIJE - Instrukcije za plaćanje su standardizovani dokument koji ćete dobiti od banke, na memorandumu banke, i sadrži informacije u vezi sa Vašim deviznim računom na osnovu kojih Univerzitet u Beogradu može da izvrši devizno plaćanje u EUR na Vaš devizni račun. U zavisnosti od banke instrukcije možete dobiti mejlom ili odlaskom na šalter.

Devizni račun možete da otvorite u bilo kojoj banci u Srbiji.

Ukoliko priložite informacije o Vašem deviznom računu koje nisu izdate na memorandumu banke, smatraće se da niste podneli urednu dokumentaciju, što će odložiti isplatu finansijske podrške.

[03] Medical insurance policy for the stay abroad

It is the responsibility of the mobility participants to arrange Medical insurance for the stay abroad and Travel Health insurance for the purpose of submitting a Student Visa Application at the relevant foreign Embassy in Belgrade, and to cover costs of the abovementioned insurance from their own funds.

FIRST PAYMENT OF YOUR Erasmus GRANT

Once you successfully upload the abovementioned documents you will:

Sign the Grant Agreement and receive the first installment of the grant

Pre nego što odete na mobilnost, neophodno je da sa Univerzitetoim u Beogradu zaključite Ugovor o dodeli namenskih bespovratnih sredstava za studiranje u okviru programa Erazmus+ (Grant Agreement), na osnovu kojeg će Vam biti uplaćena Erasmus+ finansijska podrška za realizaciju mobilnosti.

Ovaj dokument se potpisuje u Rektoratu Univerziteta u Beogradu u toku 7 dana pre zvaničnog datuma početka Vaše mobilnosti, koji je naveden u Prihvatnom pismu izdatom od strane VŠI domaćina. 

Ukoliko planirate da na VŠI domaćina odete pre zvaničnog datuma početka mobilnosti, molimo da nas o tome obavestite putem sledeće mail adrese: marina.jovanovic@rect.bg.ac.rs 

 

Important:

Please note that you will have to provide proof of having sufficient financial means for your stay at the host country for the purpose of Student Visa application at the foreign Embassy/Consular Office in Belgrade, if needed. For this reason, we strongly encourage you to visit the relevant Embassy’s website for further information regarding the visa application procedure.

  

When you arrive to your destination, you will need to have two (2) copies of a Confirmation of Arrival/Departure signed in the “arrival” section by the relevant staff at the HOST institution. When your mobility has come to an end, this same Confirmation of Arrival/Departure should be signed in the “departure” section.

Also, make a scan of your outgoing boarding pass and upload it onto your account in the MobiON platform.

The contact person at the HOST university will be the one to sign your Confirmation of Arrival/Departure and also refer you to the right person in charge of counter-signing your Learning Agreement. Please note that in order to have your mobility period abroad recognized, you will need to have the original of the Learning Agreement signed, so take BOTH copies with you to your mobility abroad.

For the purpose of safe-keeping all of these documents, please have the Confirmation of Arrival/Departure and Learning Agreement, signed by all relevant parties concerned, scanned and uploaded onto your MobiON account.

 

 

To be uploaded onto your MobiON user account

[01] Confirmation of Arrival/Departure (download template)

[02] Learning agreement (in case of changes, please send the one to UB IRO, duly signed by all parties) within a month of arrival at the partner institution - Signed by the relevant authority at the HOST institution.

[03] Upload the scan of your outbound travel ticket or a boarding card, or other document confirming outbound travel.

 

Important:

All original documents should be kept until the return from the mobility program and handed-in to UB IRO

  

The following documents should be uploaded onto your MobiOn account and the originals handed-in to UB IRO

[01] Learning Agreement signed by all relevant parties

[02] Confirmation of Arrival/Departure signed in both the “arrival” and the “departure” section

[03] Transcript of Records issued by the HOST institution

[04] Confirmation of Recognition (from the HOME institution (Faculty))

Mandatory! No later than 10 weeks after the mobility period has ended!

[05] Certificate of Attendance issued by the HOST Institution

[06] Outbound and inbound boarding card originals, or other proof of travel (train or bus ticket stubs, print-outs, etc);

[07] EU online survey (you will receive the link to your email account)

Once the Survey has been filled out and all the required documents handed-in, the second installment of the grant will be paid out
